User Rights in TallyPrime: Control Who Can Delete, Alter and Print

Set up user roles in TallyPrime so each person can do their job without being able to delete, alter or print what they should not.

When one person keeps the books, access control is simple. When a billing executive, an accountant and the owner all work in the same company, you need user rights in TallyPrime: who can create entries, who can change them, and who can delete, cancel or print. This guide explains how TallyPrime's user roles work and gives a role plan you can adapt for a small office.

How user rights work in TallyPrime

TallyPrime separates two things:

  • User roles (security levels) decide what can be done: which vouchers and reports are allowed, and whether entries can be altered or deleted.
  • Users are the people who log in. Each user is given one role and a password.

TallyPrime includes two default roles: Owner, with full access including security settings, and Data Entry Operator. You can create more roles to match how your team actually works. Tally's own guide to managing users in TallyPrime covers every option on these screens.

Step 1: Plan the roles before you create them

Write down the jobs, not the names. A typical small office needs three or four roles:

RoleCan doShould not do
Owner / AdminEverything, including security and company settingsShare this login
AccountantAll vouchers and reports, correctionsChange security settings
Billing executiveCreate sales invoices and receipts, print invoicesAlter or delete saved vouchers, see profit reports
Auditor / ViewerView and print reportsCreate, alter or delete anything

Step 2: Create the user roles

  1. Press Alt+K (Company) and choose User Roles.
  2. Create a role for each job in your plan.
  3. For each role, set which vouchers and reports are allowed or disallowed.
  4. Decide whether the role can alter or delete vouchers once they are saved. For billing roles, the usual choice is no: mistakes are corrected by an authorised user or through a reversal entry.
  5. Press Ctrl+A to save each role.

Step 3: Create users and assign roles

  1. Press Alt+K and choose Users and Passwords.
  2. Add one user per person. Avoid shared logins, because every entry records the user who created or last changed it.
  3. Assign each user the matching role and set a password.
  4. Log in as each user once to confirm they see what they should, and nothing more.

Controls worth switching on

  • Delete and cancel. Alt+D (delete) and Alt+X (cancel) are fast, which is exactly why most roles should not have them. See our list of TallyPrime shortcut keys for what each key does.
  • Back-dated changes. Restrict who can alter entries in closed periods, especially after GST returns are filed.
  • Duplication. Voucher duplication (Alt+2) can be disabled for roles that should not create repeat bills.
  • Printing and export. Limit who can print or export sensitive reports such as profit and loss.

When standard user roles are not enough

Some businesses need rules that are more specific than the standard roles, for example allowing a user to print an invoice once but not reprint it, or allowing deletion only for vouchers they created themselves. That is a job for a TDL. AndurilTech lists an add-on named user-wise delete, cancel and print advanced security; read its product page for exactly what it controls and which release it supports. If your rule is unique to your business, our Tally customization services can scope it.

Review user rights regularly

Access drifts. People change jobs, temporary staff leave, and auditors need read-only access once a year. Review your user list every quarter: remove users who have left, check that no one is using the Owner login for daily work, and confirm that each role still matches the job. If you load add-ons that change screens, check them with each role too, using the process in our TDL installation guide.

Frequently asked questions

Where are user roles in TallyPrime?

Press Alt+K (Company) > User Roles to create or alter security levels. Users are created under Alt+K > Users and Passwords, where each user is assigned a role.

What are the default user roles in TallyPrime?

TallyPrime provides Owner and Data Entry Operator as default security levels. The Owner has full access, including managing security settings, and you can create further roles for your own team structure.

Can I stop a user from deleting vouchers in TallyPrime?

Yes. In the user role, control whether that role can alter or delete vouchers once they are saved. Corrections can then be made by an authorised user or through a reversal entry.
