TallyPrime Shortcut Keys: The Ones Accountants Use Every Day

A practical list of TallyPrime shortcut keys for voucher entry, reports, filters and printing, grouped by the job you are doing.

TallyPrime is built for the keyboard. Once you know a dozen shortcut keys, you can record vouchers, jump between reports and filter long lists without touching the mouse. This guide lists the TallyPrime shortcut keys accountants use every day, grouped by the job you are doing, so you can learn them in the order you need them.

All keys below are listed in Tally Solutions' official TallyPrime keyboard shortcut guide or shown in TallyPrime's own button bar. The right-hand button bar always shows the keys available on the current screen, so use it whenever you are unsure.

Moving around TallyPrime

KeyWhat it does
Alt+GGo To: open any report, or create a master or voucher, by typing its name
Ctrl+GSwitch To: move to a different report from the one you have open
Alt+KCompany menu: create, alter, users and passwords, user roles
F3Select or change the company you are working in
F11Company features, such as bill-wise details or multiple godowns
F12Configure the screen or report you are on
EscGo back one screen

Alt+G is the single most useful key in TallyPrime. Instead of remembering where a report lives in the menu, press Alt+G and type a few letters, for example "day" for the Day Book or "sales reg" for the Sales Register.

Voucher shortcut keys in TallyPrime

KeyVoucherTypical use
F4ContraCash deposits, withdrawals and transfers between your own bank accounts
F5PaymentPayments to suppliers and expenses
F6ReceiptMoney received from customers
F7JournalAdjustments, provisions and non-cash entries
F8SalesSales invoices
F9PurchasePurchase bills
Ctrl+F8Credit NoteSales returns and post-sale discounts
Ctrl+F9Debit NotePurchase returns and supplier adjustments
F10Other vouchersOrder, inventory and any custom voucher types

Inside a voucher, F2 changes the voucher date and Ctrl+A saves (accepts) the entry. In the narration field, Alt+R recalls the last narration used for the first ledger in the voucher, and Ctrl+R recalls the last narration used for that voucher type.

Working with vouchers in reports

Most corrections happen from a report such as the Day Book or a ledger, not from the voucher screen. Select the line, then:

  • Alt+A adds a new voucher from the report.
  • Alt+2 creates a new entry by duplicating the selected voucher, which is handy for repeat bills.
  • Alt+D deletes the selected voucher.
  • Alt+X cancels it, keeping the voucher number in sequence with a zero value.

Who may use Alt+D and Alt+X is worth controlling once more than one person works in your books. That is set through user roles, which a later guide in this series covers.

Report and filter shortcuts

KeyWhat it does
F2Change the period of a report
Alt+F2Change the current period of the company (from the Gateway of Tally)
Ctrl+HChange the view of a report
Ctrl+FApply a filter to a report
Alt+F12Range filter, for example vouchers between two amounts
Ctrl+F12Value filter, using conditions you define
Ctrl+PPrint the current report or voucher

Shortcuts for add-ons and TDLs

Ctrl+Alt+T opens the TDL Management report from anywhere in TallyPrime. From there, F4 manages the TDL files loaded on that computer. Our step-by-step guide on installing a TDL file in TallyPrime walks through the full process if you have just bought or downloaded an add-on.

How to learn the keys without slowing down

  1. Start with Alt+G and the voucher keys. They cover most of a working day.
  2. Read the button bar. Every key that works on the current screen is listed on the right, and the list changes with the screen.
  3. Practise on a test company. Duplicate, delete and cancel behave differently, and it is better to see that on sample data.
  4. Add one report key per week. Filters (Ctrl+F, Alt+F12) save the most time once your data grows.

When shortcuts are not enough

Keys speed up the steps TallyPrime already has. If your team repeats the same multi-step process every day, such as re-keying data from Excel or building the same report by hand, a TDL add-on can remove the steps altogether.
