Edit Log in TallyPrime: How the Audit Trail Rule Applies
Companies must keep an audit trail of every change to their books from 1 April 2023. Here is what the rule asks for and how Edit Log in TallyPrime fits.
Since 1 April 2023, companies in India that keep their books in accounting software must maintain an audit trail: a record of every change made to the books. In TallyPrime, this is handled by the Edit Log. This guide explains what the rule asks for, how Edit Log in TallyPrime fits, and what owners and accountants should check so the audit goes smoothly.
This is a practical overview, not legal advice. Confirm how the rule applies to your company with your auditor or CA.
What the audit trail rule requires
The Ministry of Corporate Affairs amended the Companies (Accounts) Rules on 24 March 2021, with the audit trail requirement applying from 1 April 2023. In short, accounting software used by a company must:
- record an edit log of each change made to the books of account;
- capture the date when each change was made;
- not allow the audit trail to be disabled.
The company's auditor also reports on whether the audit trail feature operated throughout the year for all transactions, whether it was tampered with, and whether it has been preserved.
How Edit Log in TallyPrime fits
Tally Solutions introduced Edit Log in TallyPrime to meet this requirement, and describes it in detail on its audit trail in TallyPrime page. With Edit Log in place, TallyPrime keeps a history of changes to vouchers and masters, including when a change was made and by which user. Tally also offers a TallyPrime Edit Log variant for businesses that must keep the log always on. Ask your Tally partner which variant you are running and whether it suits your compliance needs.
Why user logins matter for the edit log
An edit log is only as useful as the user names in it. If three people share one login, the log shows what changed but not who changed it. Give each person their own login and a role that matches their job. Our guide to user rights in TallyPrime shows how to set up roles so most users cannot alter or delete saved vouchers in the first place.
Audit trail checklist for owners and accountants
- Confirm the variant and settings. Check with your Tally partner that the edit log is active for every company covered by the rule.
- Check the start date. The log must cover the whole financial year. Gaps are hard to explain at audit time.
- One login per person. No shared Owner or accountant logins.
- Restrict alterations. Fewer people altering entries means a shorter, cleaner log.
- Correct with entries, not edits. Where practical, record corrections as new entries with clear narrations.
- Preserve data and backups. The log lives with your company data, so keep secure backups for as long as you keep the books.
Edit log vs everyday review
The edit log answers "what changed, when and by whom" after the fact. Daily review catches problems before they need explaining. Many teams combine the two: the accountant reviews the day's entries each evening, and the edit log is there for the auditor. Some businesses also want the creator's name visible on documents and daily reports. AndurilTech lists add-ons named Entered By in Bill Print and Entry Details in Day Book; check each product page for what it shows and which release it supports.
Before you change software or add-ons
Moving to a new TallyPrime release or loading a new add-on should not interrupt the audit trail. Test changes on a copy of your company first, as described in our TDL installation guide. If you are choosing or renewing a TallyPrime licence with compliance in mind, see our TallyPrime software page or talk to our team.
