How to Find a Voucher in TallyPrime by Party, Amount or Narration

Lost a voucher? Use TallyPrime filters to find entries by party, ledger, amount range or narration, instead of scrolling through months of Day Book.

Every accounts team has asked it: "Where is that entry?" A customer quotes an amount, an auditor asks about a payment, or a supplier says a bill was never booked. Scrolling through months of the Day Book is slow. This guide shows how to find a voucher in TallyPrime by party, ledger, amount range or narration using the filters TallyPrime already has.

Step 1: Start from the right report and period

Most searches work best from the Day Book, because it contains every voucher type. Press Alt+G, open the Day Book, then press F2 and set a period wide enough to include the entry, for example the whole financial year. If you already know the party or ledger, open that ledger's report instead; it is shorter.

Step 2: Choose the right filter

Filter by party, ledger or narration

  1. In the Day Book, press Ctrl+F (Apply Filter) and choose the basic filter.
  2. Press F12 (Configure) and set the option to select a specific field to filter on.
  3. Choose the field, such as ledger name or narration, and type the text you are looking for.

Filter by amount range

When a customer says "we paid around 48,000 last month", press Alt+F12 (Range) and set a range such as 47,500 to 48,500. The Day Book then shows only vouchers within that range, which is often a handful of lines.

Step 3: Narrow down and open the voucher

Combine a tighter period with the filter, check the candidates and press Enter to open the right one. Remember to remove the filter afterwards, otherwise the next person to open the report may think entries are missing.

Make vouchers easier to find next time

  • Use consistent party names. One ledger per party, no duplicates with slightly different spellings.
  • Fill in references. Supplier bill numbers, cheque numbers and order references are what people search for later.
  • Write useful narrations. A narration such as "Being payment" helps no one; "NEFT for bill 1182, March rent" does. Our next guide covers narration habits in detail.

When you search every day

If your team searches across vouchers constantly, a dedicated search add-on can save time. AndurilTech lists an add-on named Find Anything; check its product page for what it searches and which release it supports. For other daily time-savers, keep our TallyPrime shortcut keys list handy.

Frequently asked questions

How do I search for a voucher by amount in TallyPrime?

Open the Day Book for a wide period with F2, then press Alt+F12 (Range) and set the amount range. TallyPrime then lists only vouchers within that range.

Can I search narrations in TallyPrime?

Yes. In the Day Book press Ctrl+F (Apply Filter), choose the basic filter, and use F12 to select the field to filter on, such as narration.

Why can I not find a voucher I know exists?

Usually the report period is too short or a filter is still applied. Widen the period with F2, remove filters, and check that you are in the right company.
