Signature on TallyPrime Invoices: Digital and Printed Options
Add a digital signature to TallyPrime PDF invoices with a DSC token, or print a signature on paper invoices. What each option needs and when to use it.
Customers, auditors and some government departments expect a signed invoice. When invoices are sent as PDFs, a digital signature in TallyPrime replaces the old routine of printing, signing, scanning and emailing. When invoices go out on paper, you may want a signature printed on them instead. This guide explains both options, what each needs, and how to choose.
Option 1: Digital signature on PDF invoices
TallyPrime can add a digital signature to PDFs while you print, email, export or share them through WhatsApp. What you need:
- A Digital Signature Certificate (DSC) token or dongle issued by a Certifying Authority.
- The token connected to the computer where you print or export the invoice.
You can configure the signature for all documents at once, or separately for an invoice or report. TallyPrime places the signature, with a date and timestamp, above the Authorised Signatory label. You can choose Only Text or Text & Image, select an image file, and decide whether to include the signatory's name. Tally's guide to digital signatures in TallyPrime covers the setup screens.
Option 2: Signature printed on paper invoices
For paper invoices, some businesses print a signature image in the authorised signatory area so invoices do not need to be signed by hand one by one. This is a print-format change rather than a DSC feature. AndurilTech lists an add-on named Print Invoice with Authorised Signature; read its product page for how it places the signature and which release it supports.
Which option should you use?
| Situation | Better fit |
|---|---|
| Invoices sent mainly as PDF by email or WhatsApp | Digital signature with DSC |
| Customers or departments that ask for digitally signed documents | Digital signature with DSC |
| High volume of printed invoices handed over with goods | Printed signature on the invoice format |
| Both PDF and paper | DSC for PDFs, printed signature for paper |
A scanned signature image is not the same as a digital signature. Ask your CA which form your customers, auditors and any government buyers accept before you standardise.
Controls around signing
- Keep the DSC token secure. Whoever holds it can sign on the company's behalf.
- Limit who can print final invoices, especially with a printed signature. Our guide to user rights in TallyPrime covers printing controls.
- Check the signatory name when the authorised person changes.
Finish the invoice layout
The signature block is one part of a professional invoice. Payment details matter just as much; see our guide to putting a UPI QR code and bank details on a TallyPrime invoice. For the rest of the layout, our GST invoice customization guide covers fields, branding and structure.
Frequently asked questions
What do I need to digitally sign invoices in TallyPrime?
A Digital Signature Certificate (DSC) token or dongle issued by a Certifying Authority, connected to the computer you sign from. TallyPrime then signs PDFs when you print, email, export or share them.
Where does the digital signature appear on the invoice?
TallyPrime adds the digital signature with a date and timestamp above the Authorised Signatory label. You can choose text only, or text with an image.
Is a scanned signature image the same as a digital signature?
No. A scanned image is a picture of a signature, while a digital signature is cryptographically tied to your DSC and the document. Ask your CA which your customers and auditors expect.
