Cheque Number and Date in a Tally Ledger Statement

Record cheque and instrument details correctly in TallyPrime bank allocations, and get them into the ledger statements you share with customers and suppliers.

When a customer disputes their balance, the first question is usually "which cheque was that?" If the cheque number and date are on your ledger statement, the answer takes seconds. This guide explains how to record cheque and instrument details correctly in TallyPrime, and how to get the cheque number into a Tally ledger statement you share with customers and suppliers.

Step 1: Record instrument details in bank allocations

When you select a bank ledger in a payment, receipt or contra voucher, TallyPrime opens the Bank Allocations screen. Fill it in every time:

  • Transaction Type: Cheque by default; change it to e-Fund Transfer or another type when the payment was not by cheque.
  • Instrument No.: the cheque number, or the UTR or reference for electronic transfers.
  • Instrument Date: the date on the cheque. It defaults to the voucher date, so change it for post-dated cheques.

Skipping this screen is the most common reason ledger statements and bank reconciliation become hard later.

Step 2: Show cheque details in the ledger statement

A customer or supplier ledger statement is built from the party's side of each voucher, while the cheque details sit in the bank allocation. Depending on your release and report configuration, the standard statement may not show cheque number and date as separate columns. Practical options:

  1. Configure the report: open the ledger report, press F12 (Configure) and check which additional details your release can show.
  2. Repeat the reference in the narration: for example "Cheque 004512 dated 12 Mar". It appears wherever narrations are shown. See our guide to narration in Tally.
  3. Use an add-on: AndurilTech lists an add-on named Enable Cheque No and Cheque Date in Ledger Statement. Read its product page for what it adds and which release it supports.

Why it matters for receivables and payables

Cheque details turn a balance disagreement into a quick match. When you send a customer their statement along with bill-wise outstanding, as described in our guide to bill-wise outstanding in TallyPrime, they can tick off each cheque against their own records.

Cheque details and bank reconciliation

Instrument numbers and dates are also what you match against the bank statement. Recording them carefully now makes the monthly bank reconciliation, covered in our next guide, much faster. If you import bank statements into Tally, see our bank statement to Tally import page.

Quick checklist for the accounts team

  • Never skip the Bank Allocations screen.
  • Use the correct transaction type: cheque, e-fund transfer and so on.
  • For post-dated cheques, set the instrument date to the date on the cheque.
  • Record bounced cheques with a clear reversal entry and narration.

Frequently asked questions

Where do I enter the cheque number in TallyPrime?

In the Bank Allocations screen that appears when you select a bank ledger in a payment, receipt or contra voucher. Enter it in the Instrument No. field, with the cheque date in Instrument Date.

What transaction types are available in bank allocations?

The default is Cheque, and you can change it to other types such as e-Fund Transfer or Electronic Cheque, depending on how the payment was made.

Why do customers ask for cheque numbers in the ledger?

They use them to match your statement with their own books and bank records. A statement with cheque numbers and dates resolves most balance disagreements without a long call.
