Pending Sales Orders in TallyPrime: Track What Is Not Yet Delivered
Use sales order processing in TallyPrime to track ordered, delivered and pending quantities, so no customer order is forgotten or delivered twice.
An order taken on the phone, written on a slip and then forgotten is a lost sale and an unhappy customer. Sales order processing in TallyPrime records every customer order, links it to deliveries and invoices, and shows what is still pending. This guide explains how to set it up and how to use the Sales Order Outstanding report as a daily dispatch list.
How sales order processing works
The flow has three steps:
- Sales Order: record what the customer ordered, with items, quantities, rates and due dates.
- Delivery Note and/or Sales Invoice: when goods go out, select the order number so TallyPrime knows which order is being fulfilled.
- Outstanding report: anything ordered but not yet delivered or invoiced appears as pending.
Tally's guide to sales orders in TallyPrime covers each screen in detail.
Step 1: Enable order processing
Press F11 (Features) and, under inventory features, enable sales order processing. Set it up once per company.
Step 2: Record the sales order
Create a Sales Order voucher (use Alt+G and type "sales order", or pick it from the other vouchers list). Enter the customer, items, quantities, rates and the due date for delivery. Use the customer's PO number as the order reference so both sides talk about the same document.
Step 3: Link deliveries and invoices to the order
When you record a delivery note or sales invoice, choose the pending order in the order details. TallyPrime pulls in the pending items and reduces the outstanding quantity. Partial deliveries are fine: the balance stays pending until it is delivered or the order is closed.
Step 4: Review the Sales Order Outstanding report
Press Alt+G and open the Sales Order Outstanding report. It lists orders that are not fully delivered, with due dates. Use it:
- Every morning as the dispatch list, oldest due date first.
- Before promising new stock to another customer, so you do not sell what is already committed.
- Weekly to close orders the customer has cancelled, so the list stays honest.
Common problems and fixes
| Problem | Fix |
|---|---|
| Order still shows pending after delivery | The invoice was saved without selecting the order. Alter the invoice and link the order. |
| Order delivered twice | Staff created a fresh invoice instead of using the order. Make "select the order" part of billing training. |
| Report is full of old orders | Close cancelled and short-closed orders every week. |
Going further
Pending orders only help if you have the stock to fulfil them. Our inventory management guide for TallyPrime covers stock tracking basics. If you need a different layout, such as pending orders grouped by party or item with extra columns, AndurilTech lists a Pending Sales Order Report add-on; check its product page for details. And a customer with no recent orders at all belongs on the list from our guide to finding customers who stopped buying.
Frequently asked questions
How do I see pending sales orders in TallyPrime?
Press Alt+G (Go To) and open the Sales Order Outstanding report. It lists orders that are not yet fully delivered or invoiced, so you can complete or close them.
How does TallyPrime know an order has been delivered?
When you record the delivery note or sales invoice, select the sales order number in the order details. TallyPrime then reduces the pending quantity on that order.
What should I do with an order the customer has cancelled?
Close the order rather than leaving it pending, so the outstanding report only shows orders you genuinely still need to fulfil.
