Bill-Wise Outstanding in TallyPrime: Track Receivables by Invoice

Enable bill-wise details in TallyPrime to see exactly which invoices each customer owes, how old they are, and which payments are still unadjusted.

A customer's ledger balance tells you how much they owe. Bill-wise details in TallyPrime tell you what that balance is made of: which invoices are unpaid, how old each one is, and which payments are still sitting unadjusted. That is the information you need to chase payments politely and accurately. This guide covers setup, bill reference types and the reports that show bill-wise outstanding.

Step 1: Switch on bill-wise details

  1. Press F11 (Features) and set Maintain Bill-wise Details to Yes.
  2. Open each customer and supplier ledger (under Sundry Debtors or Sundry Creditors) and set Maintain balances bill-by-bill to Yes.
  3. Set a default credit period in the ledger if the party has agreed terms, such as 30 days. TallyPrime uses it to calculate due dates.

Step 2: Use the right bill reference type

TypeWhen to use itExample
New RefA new bill is createdSales invoice 245
Agst RefSettling or adjusting an existing billReceipt against invoice 245
AdvanceMoney received before the bill existsAdvance with a customer order
On AccountAn amount you cannot yet link to a billLump-sum payment awaiting details

On Account is useful but should be temporary. Review On Account balances weekly and adjust them against the right bills, otherwise your ageing report will show old invoices as unpaid when the money has already arrived.

Step 3: Read the outstanding reports

  • Bills Receivable lists every unpaid customer bill with its due date and overdue days.
  • Ledger outstandings show bill-by-bill details for one party, which is what you share when you call a customer.
  • Group outstandings show all parties under a group, such as Sundry Debtors.

Open any of them with Alt+G and type the report name. Tally's guide to outstanding reports in TallyPrime describes each one.

Step 4: Use ageing to prioritise follow-up

TallyPrime's ageing analysis groups unpaid bills into slabs of 0-45, 45-90, 90-180 and over 180 days by default. Press F6 (Ageing Periods) in Bills Receivable to set slabs that match your terms, such as 0-30, 31-60, 61-90 and over 90. Then follow up oldest first, and flag anything over 180 days for a decision on provisioning with your CA.

Turn outstanding reports into collections

Reports do not collect money; follow-up does. Two things help:

  • Reminders. Sending statements and reminders over WhatsApp gets faster responses than email for many businesses. See our Tally WhatsApp integration for invoice and reminder workflows.
  • Interest on late payment. If your terms allow it, TallyPrime can calculate interest on overdue bills. Our guide to automatic interest calculation in Tally covers the setup.

Bill-wise data also makes receipts easier to trace later, especially when receipts carry clear references, as covered in our guide to narration in Tally.

Frequently asked questions

How do I enable bill-wise details in TallyPrime?

Press F11 (Features), set Maintain Bill-wise Details to Yes, then in each customer and supplier ledger set Maintain balances bill-by-bill to Yes.

What is the difference between New Ref and Agst Ref?

New Ref creates a new bill reference, such as a sales invoice. Agst Ref adjusts a payment or credit note against an existing bill. Advance records money received before a bill exists, and On Account records an amount not linked to any bill.

Can I change the ageing periods in TallyPrime?

Yes. TallyPrime uses default slabs of 0-45, 45-90, 90-180 and over 180 days. Press F6 (Ageing Periods) in the Bills Receivable report to set your own.
