Credit Limit in TallyPrime: Stop Billing Customers Who Owe Too Much
Set credit limits and credit periods on customer ledgers in TallyPrime so billing staff are warned before a customer goes over their limit.
Most bad debts start as a normal order from a customer who already owed too much. A credit limit in TallyPrime puts a number on how much each customer may owe you, and warns at the moment of billing if a new invoice would cross it. This guide covers how to set credit limits and credit periods, what happens when a limit is exceeded, and how to keep limits meaningful.
Credit limit vs credit period
- Credit limit is the maximum amount a customer may owe at any time, for example 2,00,000.
- Credit period is how long they have to pay each bill, for example 30 days. TallyPrime uses it to set due dates on bills.
You usually want both: the period drives due dates and ageing, and the limit stops exposure from growing quietly.
How to set a credit limit in TallyPrime
- Make sure bill-wise details are switched on (F11), as explained in our guide to bill-wise outstanding in TallyPrime.
- Alter the customer ledger and enter the default credit period.
- Enter the credit limit for that customer.
- Press Ctrl+A to save.
What happens when the limit is crossed
When a billing user tries to accept a voucher that takes the customer over the limit, TallyPrime shows a message with the defined limit and the amount exceeded. The user can then reduce the invoice value to stay within the limit. For situations where you deliberately allow some flexibility, the party ledger has an override option tied to post-dated transactions. Decide as a policy who may approve exceptions; do not leave it to whoever is billing at the time.
Setting sensible limits
| Customer profile | Starting point |
|---|---|
| New customer, no history | Low limit or advance payment until a pattern is established |
| Regular customer, pays on time | Roughly one to two months of typical purchases |
| Large customer, slow but reliable | Higher limit with a shorter review cycle |
| Customer with overdue bills over 90 days | Hold the limit at current exposure until the old bills clear |
These are starting points, not rules. Agree the policy with your owner or finance head and record it.
Make credit control part of the routine
- Weekly: check customers close to their limit and call before the next order, not after.
- Monthly: compare limits with actual exposure and ageing.
- Quarterly: revise limits based on payment behaviour.
Restrict who can alter customer ledgers, so limits cannot be raised quietly to push an order through. Our guide to user rights in TallyPrime shows how. For faster collections from customers near their limit, a reminder on WhatsApp often works better than a phone call; see our Tally WhatsApp integration page.
Frequently asked questions
What happens when a customer exceeds the credit limit in TallyPrime?
When you try to accept a voucher that takes the party over the limit, TallyPrime shows a message with the credit limit and the amount exceeded. You can enter a lower value to stay within the limit, or use the override option configured in the party ledger.
Do I need bill-wise details for credit limits?
Bill-wise details are not the same feature, but they work best together: the credit limit controls how much a customer can owe, and bill-wise details show which invoices make up that amount.
How often should credit limits be reviewed?
At least quarterly, and whenever a customer pays consistently late or their order volume changes significantly. Limits that are never reviewed stop meaning anything.
