When an e-way bill needs a vehicle number, how Part A and Part B work, and how to record transport details with the invoice in TallyPrime.

A missing or wrong vehicle number on an e-way bill can stop a truck at a checkpoint. For traders and manufacturers who dispatch goods every day, getting the e-way bill vehicle number right in Tally is a routine that has to work without thinking. This guide covers when an e-way bill is needed, how Part A and Part B differ, and how to keep transport details accurate in TallyPrime.

The rules below are a summary of the e-way bill provisions under GST. Check current rules for your state on the official e-way bill portal, and confirm special cases with your CA.

When an e-way bill is required

Under Rule 138 of the CGST Rules, a registered person moving goods with a consignment value above Rs 50,000 generally has to generate an e-way bill before the movement starts. Some states set their own limits for movement within the state.

Part A and Part B

PartContainsWho usually fills it
Part ARecipient GSTIN, place of delivery (PIN), invoice or challan number and date, value, HSN code, transport document number, reason for transportThe supplier, from the invoice
Part BTransport details, mainly the vehicle numberThe supplier or the transporter

Part B is not required when goods move less than 50 km within the same state or union territory. For normal cargo, an e-way bill is valid for one day up to 200 km, plus one day for every further 200 km or part of it.

Recording transport details in TallyPrime

TallyPrime lets you record e-way bill and transport details with the sales invoice, so the same data feeds the e-way bill instead of being typed twice. Make it a habit to:

  1. Enter the transporter's name and ID, and the transport document number (LR or bilty) where available.
  2. Enter the vehicle number exactly as on the registration, without spaces or punctuation the portal may reject.
  3. Check the distance and place of delivery PIN against the customer's address.
  4. Make sure every item has the right HSN code, covered in our guide to HSN codes in TallyPrime.

If you also generate e-invoices, our e-invoice setup guide for Tally explains how the IRN and e-way bill fit together.

Avoiding vehicle number mistakes

  • Keep a list of regular vehicles. Picking a vehicle from a list is safer than typing it on every invoice.
  • Update Part B when the vehicle changes during the journey, for example at a transhipment.
  • Check before the truck leaves, not after it is stopped.

AndurilTech lists an add-on named Vehicle No List in Voucher Entry and E-Way Bill Details; read its product page for how it works and which release it supports.

For transport businesses

If you run the transport side yourself, with LRs, freight and vehicle expenses, the problem is bigger than one field. See our transport TDL for Tally and the guide to LR, freight and expense workflows in TallyPrime.
