Cash Sales in TallyPrime: Record and Review Them Every Day
Record counter and cash sales correctly in TallyPrime, review them daily against the cash in hand, and stay within the cash receipt limit.
Shops, counters and service desks take cash all day. If cash sales are recorded loosely, the cash book and the cash drawer drift apart, and the difference is hard to explain later. This guide shows how to make a cash sales entry in TallyPrime correctly, review cash sales every day, and stay within the legal cash receipt limit.
How to record a cash sale
- Press F8 to open a sales voucher.
- Select Cash (or your cash-in-hand ledger) as the party account.
- Enter items, quantities and rates, or the income ledger for services.
- Save with Ctrl+A.
If you need the customer's name on the invoice for a cash sale, for example for warranty, record it in the buyer details rather than creating a new ledger for every walk-in customer.
Cash, UPI and card in the same day
Most counters now take a mix of cash, UPI and cards. Keep them apart in the books, so each one can be checked against its own source:
| Payment | Record against | Check against |
|---|---|---|
| Cash | Cash-in-hand ledger | Physical cash count at closing |
| UPI | Bank ledger the UPI settles to | Bank statement or UPI app report |
| Card | Card settlement ledger or bank | Card settlement report |
The daily cash review
- Open the Day Book in TallyPrime for today and press F4 to show only sales.
- Add cash sales and other cash receipts, minus cash payments made from the counter.
- Compare with the physical cash counted at closing.
- Investigate any difference the same day, and record genuine shortages or excesses with a clear narration.
For a ready list of cash sales or payments in one report, AndurilTech lists a Cash Sales Register and a Payment Register add-on; check each product page for the columns and release supported.
The cash receipt limit
Under section 269ST of the Income Tax Act, a business should not receive Rs 2 lakh or more in cash from one person in a day, in respect of a single transaction, or for transactions relating to one event or occasion. Large cash sales to one customer should be split into non-cash payment instead. Ask your CA how this applies to your business.
Retail-specific tips
- Deposit cash regularly and record each deposit as a contra entry (F4).
- Keep invoice numbering continuous; cancel rather than delete wrong bills, if your user role allows.
- Review discounts and returns daily; they are where cash differences usually hide.
